Key Area of Responsibilities:
1. Technical Part:
• Assist in standardization of green and healthy building certification and sustainable related reports;
• Assist in service delivery of green building, healthy building consultancy service to the clients and related energy simulation, and energy audit services to the projects;
• Assist in promoting sustainable operation, maintenance, healthy services to clients;
• Deliver LEED, WELL, Chinese Green Building Label consultancy services to clients;
• Deliver the LEED, WELL, Chinese GBL certification related documents to clients;
• Communicate with internal sustainability functional group;
• Assist directors in daily operations and ad hoc issues;
• Organize, participate in and take minutes for meetings;
• Handle project co-ordination and communication with both internal and external customers;
• Handle and prepare business correspondences, presentation materials, reports, proposals and minutes;
• Maintain hard copy and electronic filing system;
• Assist in any other job-related issues as and when required by management.
2. Administrative Part:
1) Purpose of Job
Assist ASV's Technical & Sustainability Section (here-in-after called "this section" ) in the provision of clerical and administrative services to both internal and external customers, including: -
• Work with all colleagues in ensuring efficient administration throughout the company;
• undertake personnel work within the company under the direction of the head of this section; and
• Carry out secretarial, administrative and clerical duties under the direction of the head of this section.
2) Main Responsibilities, Tasks, and Duties
• Pro-actively provide administrative support for both internal and external customers, including filing, word processing, and reprographics work;
• liaise with and give appropriate information to both internal and external customers as and when required;
• assist in the compilation of such reports and records, and assessment of data as may be required by the company;
• command in use of all usual software to input and manage data and produce required documentation;
• input and validate data onto the company computerized systems as and when required;
• complete as necessary such reports and returns as may be required by both internal and external customers;
• comply with all data protection requirements with regards to the access and dissemination of personal data;
• attend meetings, take notes/formal minutes as required and report back to the head of this section;
• maintain a positive working relationship among colleagues of this section;
• assist project development and problem-solving;
• develop, implement, and maintain corporate policies and procedures;
• work in close coordination with the company's functional departments;
Core Competency Requirements:
Essential
• Fluent in both written and spoken English and Chinese (Mandarin ) and any additional languages preferred;
• MEP professional background;
• At least ten years related working experience;
• Good keyboard skills;
• Computer literate in Microsoft Office, AutoCAD, energy simulation software;
• Ability to meet deadlines;
• Ability to communicate effectively at all levels within our company;
• General office experience;
• Willing to work overtime and go on business trips;
• Being able to work as part of a team;
